Equitas Ltd was established to reinsure and run-off the 1992 and prior years’ non-life liabilities of Names, or Underwriters, at Lloyd's of London. They required a forum to update the Names throughout the UK with the latest developments.

Event
Road show consisting of three 1-day conferences across the UK.

Client’s requirements
The client required a meticulously organised series of events despite a lead time of just 6 weeks. Their aim was to deliver a latest development update to as many delegates as possible across the UK within a short time frame. The main challenge was to manage an unknown quantity of delegates on the day and prepare for higher attendance than predicted.

L2’s solution
L2 managed a 3-event, AGM style road show over one week. We created and implemented a multi-scenario, on-the-day action plan for directing delegate flow, space allocation and on-site staff at varying levels of attendance. We co-ordinated all of the pre- and on-site project management, venue, technical and catering and updated the progress to the client regularly. In advance of the road shows we produced detailed minute-by-minute schedules distributed for approval by and used by all staff. We utilised these schedules onsite at each location to train and direct 20 of our experienced on-site staff.

Outcome
The 3 events were well attended on the day, and the overflow action plan was implemented successfully. During the week, the UK experienced extreme weather conditions affecting delegate & staff travel and logistical arrangements; however L2 dealt with the situation in a professional manner ensuring there was no adverse impact on the subsequent event, much to the appreciation of the client.
