This was a special event for Nokia as 1000 new staff were invited to learn about working for this organisation and what the future held for them. They required a practical, convenient location which could house 1000 delegates the conference and 5 showcase booths. Additionally we needed to ensure all 1000 delegates could be fed substantially and efficiently during a short lunch service. We needed to be very sensitive to this well known brand as well as security conscious as this was a closed event. Good networking opportunities were paramount for new staff to meet each other as well as existing Nokia staff. We had a fixed budget to work with from the outset.
L2’s solution
We sourced a venue which could comfortably hold this large delegation and was convenient for the client offices, working carefully and creatively with the brand to ensure it was represented consistently throughout the venue. A scaled floor plan enabled us to maximise space for people and the booths and in liaising with head caterer and reviewing the food options, we were able to provide an imaginative solution to feed all delegates.
A fast registration service, whereby delegates were given their badge and directed away from the area, increased networking time and prevented overcrowding. Additionally, our 12 highly competent staff with branded T-Shirts, were available to assist delegates when required. Throughout this process, the budget was regularly reviewed with the client and negotiated the best possible prices to provide an unforgettable event for new staff.
Results
Positive feedback from staff and client – staff felt well attended to and were able to enjoy the taste of their new company.
